Basically email marketing is the use of email to promote products and/or services. But a better definition of email marketing definition is the use of email to develop relationships with potential customers and/or clients. Email marketing is one segment of internet marketing. which encompasses online marketing via websites. social media. blogs, etc.

Much of the spam email we all get proclaiming deals on this and that is a good example of email marketing at its worst; the mindless email barrage.

Someone somewhere buys an email list (or several!) and sends an email along the lines of “Get ___________ (the product name) for only $_____! (the amount) to everyone on the list – sometimes repeatedly. All this does is annoy everyone and give email marketing a bad name.

At its best, email marketing allows businesses to keep their customers informed and tailor their marketing messages to their customers.

Email Marketing Can Be Personalized

Particular groups of customers can be targeted or even individuals. Offering individual customers special deals on merchandise and/or services on the customer s birthday, for instance, is one example of email marketing personalization (a restaurant in my town sends an email to customers on their birthday, offering 50% off an entree). Email marketing helps a business develop and maintain a relationship with a customer over time that hopefully results in increased sales and increased customer loyalty.

Email marketing best practices include developing one s own email list rather than buying an email list(s), and making participation in your email list opt-in rather than opt-out (using permission-based email marketing). Email should also be optimized for mobile usage, as according to statistics over half of emails are opened on mobile devices.

The Advantages of Email Marketing

The two big advantages of email marketing are price and ease. Emailing is an inexpensive way to advertise your company and its products and/or services compared to many other types of marketing. It s also extremely easy to set up and track an email marketing campaign. making it a very accessible type of marketing for small businesses.

Newsletters can be sent to the email list you ve built from the people who provided the necessary information on your website, for instance, providing these potential customers with news updates about your company, upcoming events and/or special offers – and, of course, reminding them that your business exists and that maybe it s time for another visit.

Email Marketing Is Still Relevant

In an age of increasing usage of Social Media for advertising, email marketing still rules the roost, according to a study conducted by HostPapa :

  • 94% of Internet users use email, while only 61% use social media
  • 75% of adult online users say that email marketing is their preferred marketing method
  • the opt-in feature of email allows marketing by consent
  • email marketing allows targeting by demographics (age, income, etc.)
  • email messages have a much wider range of formatting possibilities than social media messages
  • email offers more reporting and analytics capability, such as click-through rates, open rates, bounce rates, and conversions

Ideally, email marketing should go hand-in-hand with social media. Adding social media Like or Share buttons to your marketing emails gives an additional way for customers to connect with your brand. Snippets of positive reviews from social media fans can be included in emails, and conversely social media postings can be used to encourage fans to subscribe to your email newsletters.

An E-mail Message

An e-mail message has always been nothing more than a simple text message — a piece of text sent to a recipient. In the beginning and even today, e-mail messages tend to be short pieces of text, although the ability to add attachments now makes many messages quite long. Even with attachments, however, e-mail messages continue to be text messages — we’ll see why when we get to the section on attachments.

E-mail Clients

You’ve probably already received several e-mail messages today. To look at them, you use some sort of e-mail client. Many people use well-known, stand-alone clients like Microsoft Outlook, Outlook Express, Eudora or Pegasus. People who subscribe to free e-mail services like Hotmail or Yahoo use an e-mail client that appears in a Web page. If you’re an AOL customer, you use AOL’s e-mail reader. No matter which type of client you’re using, it generally does four things:

  • Shows you a list of all of the messages in your mailbox by displaying the message headers. The header shows you who sent the mail, the subject of the mail and may also show the time and date of the message and the message size.
  • Lets you select a message header and read the body of the e-mail message.
  • Let’s you create new messages and send them. You type in the e-mail address of the recipient and the subject for the message, and then type the body of the message.
  • Lets you add attachments to messages you send and save the attachments from messages you receive.

Sophisticated e-mail clients may have all sorts of bells and whistles, but at the core, this is all that an e-mail client does.

There are many reasons to practice a foreign language through an email exchange:

Your Learning Needs

A language exchange through email is complementary to a live language exchange through text or voice chat because it allows you to work on your grammar, vocabulary, spelling, etc. – whereas during live practice the emphasis is on communicating. By practicing through email, you are working on the technical side of the language, so when it’s time to speak you can relax, feeling more confident about your grammar.

If you need to reinforce your writing skills for school or business, a language exchange via email is an excellent way to do it.

If you’re more of a beginner, or if your second language skills are rusty, you’ll probably benefit more from starting with an email exchange, where you can take your time reading and writing, looking up words, and asking questions.

With penpals, you can practice whenever it suits you.

It’s also a nice, slow way to get to know your exchange partners that you will chat with later on.

To start, you need to find a penpal (or penpals) from the sections above – a native speaker of the language you are practicing who also wants to practice through an email exchange.

In your emails, we strongly recommend that you write in both languages. If you only write in your practicing language, the ideas you express may be limited. The exchange will be more interesting if you can express yourself naturally, even if only for some of the time. Other advantages include both parties improving their reading skills. This helps your vocabulary, idioms, natural syntax, etc. and you will also get some practice writing in your practicing language, but not so much that it becomes overwhelming. More reasons to use both languages. especially during live practice.

You should give each other a little feedback on your writing. If you have a particular area that you want to work on, such as verb tenses, gender, sentence structure, expressions, spelling, etc. you can ask your partner to pay closer attention to that area when giving corrections.

You can also translate part of your message, or ask your partner to do it. When you are translating your message, remember that translating means expressing the same idea in a different language. Try to translate the whole sentence rather than individual words. Otherwise, you’ll get a choppy sentence that is not the way a native speaker would express the idea. When your partner translates your message, you can see how a native speaker expresses those ideas. Finally, when you are translating your partner’s message into your native language, don’t be afraid to use an expression or slang. Remember, an advantage of a language exchange is the opportunity to learn and exchange all aspects of a language and culture.

Tips for choosing your professional email address

Andréa Coutu wrote recently about 7 terrible secrets revealed by your email address (and how to fix them). Her advice is good, and I recommend reviewing each of her points before you decide on your “official” email address.

If you’re in business as an IT consultant, you have no excuse for not having your own domain name. If domain registration and hosting breaks your bank, then you shouldn’t be in this business. Even if your niche has nothing to do with the Internet (as unlikely as that’s becoming), nothing says “I’m not really serious” like an account on,, especially, and even (unless you’re a Google employee). Not that you can’t also have one of those addresses (except, what were you thinking?! ), but don’t use it professionally.

When choosing your domain name, you should use the name of your business. If your business doesn’t have a name, get one. Even if it’s just “your name here Consulting,” you should present yourself as a commercial entity. If you feel that your business name is too long for a domain name, you should make sure your abbreviation seems natural and obvious. For example, my business name is “Camden Software Consulting,” and my domain name is “”. If I had chosen something like “,” then my contacts would always have to look it up to remember how I abbreviated it. Also watch out for unintended words that arise from combining abbreviations. You wouldn’t want to abbreviate “Megara Associates, Inc.” as “” for example.

I’ve seen some independents who treat their domain name like an 800 number: they make it into an ad. Domains like “” may be cute, but unless it’s also the name of your business, your client will have one more thing to remember when they want to contact you. “Was it, or Or wait, isn’t their office in Pekin?”

For the top-level domain (TLD), I think “.com” is preferable. It means “commercial” (you’re in business here, aren’t you?) and despite being US in origin, it has international applicability. It’s also what flies off people’s fingers automatically when they’re typing a domain. If you limit your business to one country or region, then a nation-specific commercial TLD could also be appropriate. The “.org” TLD says “I’m a non-profit!” even though you don’t have to use it for that. The “.net” TLD is a little better, but people tend to infer some sort of online community instead of a business. You should avoid “.biz” and “.info” — the spammers polluted that space years ago, and your emails will get filtered for that reason alone.

There’s nothing wrong with registering the same domain in several TLDs and redirecting them all to the same address, though. In fact, it’s a good way to keep other people from using your business name.

HIPAA (Health Insurance Portability and Accountability Act of 1996) is the defining authority on how the healthcare industry handles patient-related information. This includes regulations regarding various messaging systems used for transmitting PHI (patient health information).

Please note that HIPPA doesn’t prohibit using email as a medium for sending electronic PHI records or e-PHI. However, it has ensured that the security of patient information via email-based communication is not compromised. Thus, the HIPPA Security Rule specifies standards for making transmission of PHI via emails secured. The Security Rule specifies some regulations in this regard. These include standards for:

• Access control (45 CFR § 164.312(a))
• Integrity (45 CFR § 164.312(c)(1))
• Transmission security (45 CFR § 164.312(e)(1))

All these standards underline the criticality of implementing HIPAA policies and following recommended procedures, aimed at maintaining the integrity of PHI by restricting unwarranted access to e-PHI. The standard for Transmission Security is elaborative and provides specifications regarding the encryption requirements and other integrity controls that should be maintained when sending PHI via emails.

A covered entity must ensure that email messages containing PHI are secured when being sent through unencrypted links too. All covered entities should assess the nature of their open communication networks and adopt suitable means to ensure the safety of e-PHI sent via emails. To ensure that their adherence to Security Rule’s recommendations can be substantiated, a covered entity should document the changes/measures it has adopted. Similarly, there are recommendations for email archiving for emails containing PHI.

Thus, covered entities handling PHI should consider adopting email-based security measures like content filtering, recipient authentication, use of message server softwares and anti-spam/anti-virus technologies to ensure that they are in compliance with HIPAA’s regulations. This has been further endorsed by CMS (Centers for Medicare and Medicaid Services) that recently indicated that it plans to provide further guidance in this regard.
